Introducing our new Recording and Transcription Policy

In a world of hybrid work and virtual meetings, the ability to record and transcribe discussions has become an essential tool for productivity.  However, with this convenience comes a responsibility to protect privacy, maintain security and consider your lawful basis for recording/transcribing.  To provide clear guidance we are introducing our new Recording and Transcription Policy Template.

Why this policy matters

Recording a meeting is about more than just capturing audio; it's about managing data and building a culture of transparency.  This policy serves the following goals:

Compliance - meeting legal and regulatory requirements regarding data privacy, including a lawful basis for processing and retention of the data.  

Security - ensuring only pre-approved tools are used and that a  DPIA has been completed where required.

Transparency and consent - ensuring all participants know when they are being recorded and for what purpose.

Access rights - remember that recordings may be subject to Subject Access Requests and Freedom of Information Requests.
