To that end, we have updated our AI Policy Template (v2026) to align with recent expectations from the Department for Education (DfE) and the Information Commissioner’s Office (ICO).What has changed?
We have introduced four key updates to ensure your school’s policy is robust, accountable, and transparent:

Strengthened Accountability and Governance: The revised policy explicitly places the responsibility for AI deployment with the Senior Leadership Team (SLT). This includes a mandate to conduct Data Protection Impact Assessments (DPIAs) before adopting new tools and to maintain a formal register of all AI tools in use across the school. It also introduces the "human-in-the-loop" requirement, ensuring AI never makes a significant decision about a student or staff member in isolation.

Enhanced Transparency: We have mandated that schools update their Privacy Notices. If you are processing pupil or staff data using AI systems, parents and data subjects must be informed transparently about how that data is being used.

Strict Data Minimisation: To mitigate privacy risks, we have reinforced the principle of data minimisation. Staff are now required to manually redact or remove all personal, sensitive, or identifiable information from prompts before they are entered into any AI tool.

Alignment with the ICO’s Age Appropriate Design Code: Protecting our pupils is paramount. The updated policy ensures that any AI tools used for or by pupils are assessed for age-appropriateness and that the processing of children's personal data is strictly limited to what is necessary for the educational purpose.
Why do these changes matter?
The regulatory environment is shifting. The ICO has made it clear that existing data protection laws—principally the UK GDPR and the Data Protection Act 2018—fully apply to AI systems. By adopting these changes, your school is proactively managing risk, protecting your reputation, and ensuring that you are using technology safely rather than just reactively.
