Volunteer Acceptable Use Policy & Agreement
We're pleased to share our Acceptable Use Policy & Agreement for volunteers in response to our customer's requests.
This policy ensures the volunteers in your organisation use school technology responsibly and protect the personal data of pupils and staff.
Volunteers often help with reading, supporting PTA events or assisting teachers and there may be some circumstances where the volunteer needs access to a system or data.
Why do I need an acceptable use agreement for a volunteer?
✅The acceptable use agreement means that the volunteer is legally bound to confidentiality and meets data protection requirements.
✅You will have a record of who has accessed the device, protecting your digital asset.
✅There is clarity of the role.
✅Signing the agreement gives the volunteer a graceful way to decline questions from others : "I've signed a legal agreement; I can't discuss anything I see on the school systems."
How do I use the agreement?
If you have a specified task the volunteer is going to help you with:
✅Ensure IT provide a device that has strict access control.
✅Have a member of staff responsible for obtaining the signed agreement, issuing and then recovering the device.
✅If you are using an app or program, then ensure only school accounts are used, not personal ones.
✅Ensure the volunteer has a member of staff to contact in case of problems.
✅Keep usage of the device to on school premises where possible.
